Fellow swim parents -
Thank you all for the work you’ve done in making the Kingfish Swim Team the best in the EFSL. Our meets are well known as the best run in the league and we can’t keep up our reputation without you. You are truly appreciated.
As the season goes on, there will be fewer and fewer opportunities for you to reach your goal of 60 hours. Please consider:
1. You can volunteer to time at Away Meets and get Kingfish volunteer hours credit. This guarantees you a great seat at a small pool with little sitting room. If you are at those meets, volunteer.
2. We will need bus monitors for Away Meet buses. If you are riding the bus anyway and want to earn the hours, let Lilas or Tim Davis know that you are interested. You get credit for the entire travel time.
3. Awards, Statistician, Swim Shop, to name a few. You will automatically receive your hours quota.
4. We need someone to coordinate the end of season awards banquet – and it’s not too early to start planning! Please consider stepping up and organizing this year’s dinner. This is the ultimate recognition!

Volunteer Positions and Descriptions
The following positions are required to support and administer, on a routine basis, activities associated with the Kingfish Swim Team. The number of volunteer hours required per family this year is 60. Being the chairperson of a committee is a great way to take care of all or most of this obligation.
Please look over the below list and see if there is any vacant positions you would be interested in signing up for. Even if you’re not a chairperson, the below activities are where we’ll need your help this year.
Please contact any board member for further information or to sign up. Thanks. (Note: any position requiring work at a meet, receives additional time for actual hours worked. Positions only requiring time spent at the meets do not receive additional hours.)
Season Positions
Awards Coordinator (60 hours + hours worked at meets) (Adel Boyd)
Responsible for acquisition of awards deemed appropriate and necessary to recognize the achievements of members of the team
During home meets, present individual and meet awards as appropriate
Works with Social Committee Chair to plan/organize end of year Awards Banquet
Concessionaire Coordinator (“Bait Shop”)
(60 hours + hours worked at meets) Yopi Washington
Responsible for transporting equipment, materials and supplies necessary to erect and operate a refreshment concession stand at all home meets
Responsible for scheduling volunteers and overseeing the sale of refreshments furnished by the Parents' Association during these meets
Coordinates, schedules donations and purchases additional supplies
Fundraising Coordinator (Board Position) (60 hours) (Gloria Sheridan)
Responsible for planning two fundraisers per quarter to include gaining base permission, coordinating swimmer and parental involvement, and overseeing each event. Can delegate primary fundraisers as appropriate:

Head Timer (30 hours plus hours worked at meets) (Susan Armstrong)
Sets up timer schedule ensuring enough timers will be available to successfully time a meet
Performs as the Head Timer for this team of timers during the meet
At away meets, works with parents to provide enough timers to supplement host team
Hosting Coordinator (60 hours) (Lana Austin)
Responsible for arranging host families for visiting teams if requested
Responsible for coordinating with host team when Kingfish swimmers require hosts at distant (Aviano, Berlin, and Lakenheath) away meets
Provides local hotel and accommodation information to visiting teams upon request
Publicity/Newsletter Coordinator (60 hours)
Solicits inputs from all committee heads and Board of Directors for a monthly newsletter
Prepares articles for the Kaiserslautern American newspaper after each meet
Prepares articles for the Stars and Stripes for especially noteworthy stories
Works with AFN, if appropriate, to publicize Kingfish events
Yearbook Coordinator/Photographer (60 hours) (Penny Hokaj)
Takes photos throughout the season with digital camera provided by the team
Sends photos to webmaster for website updating
Designs and coordinates printing of yearbook
Designs slide show for viewing at the awards banquet
Social Coordinator (60 hours) (Kawana Rawls)
Arrange/organize lock-in and pizza party
Arrange parents social (Jaudon)
Arrange and organize Christmas party
Arrange and organize awards banquet
Statistician (60 hours) (Sharon Domenichini)
Assistant (actual hours worked) (Bonnie Leith)
Responsible to record, update and publish home meet results as required by the EFSL
Provide updated and accurate copy of swimmers' times to Head Coach on a routine basis and make available to membership at the Parents' Association meetings
Statistics compiled shall be detailed enough to enable the Board to ascertain qualification status for awards and for junior varsity and varsity letters
Swim Shop (60 hours) (Nancy Hart)
Determine, along with board and head coach, what type of swim gear to maintain
Purchase and maintain swimming equipment for sale to all Kingfish families
Keep accurate inventories and provide periodic inventory to board
Sell items and equipment at each home meet
Transportation/Travel Planner (Board Position) (60 hours) (Lilas & Tim Davis)
Ensures monthly schedule is provided to the Webmaster for posting
Verifies alternate plans are in place to ensure a chaperone is available each practice day
For meets requiring overnight stay, arranges/assists with transportation and hotel accommodations and provides information to families (via website).
Webmaster (50 hours) (Dawna Brown)
Maintains Kingfish website/database with accurate and timely updates provided by committee heads and Board of Directors
Volunteer Coordinator/Tracker (60 hours) (Margaret Stubner)
Maintains list of season positions and volunteers. Ensures that non-voted positions are filled.
Keeps volunteer sign up sheets at various Kingfish events
Tracks hours and ensures that each family works a minimum of 60 volunteer hours
Ensures updates are posted to the website periodically for review
Provides the end of season report to the Treasurer for billing
Meet Director (Board Position) (60 hours) (Len Tarnowski)
Responsible for ensuring that all equipment necessary for the meet is in place
Manages Set Up and Clean Up crews
Clerk of Course (actual hours worked) (Shondra Seebeck)
Assistant (actual hours worked)
Handles late entries or deletions, realigning heats when necessary.
Organizes deck cards, lines up heats, and keeps Head Official, Head Timer, Starter and Marshal apprised of changes.
Meet Positions (earn actual hours worked at meets) – sign up with individual coordinators – record hours on sign up sheets provided.

Awards Coordinator
- Assistant - tracking meet times, ensuring that proper credit is received and ribbons are awarded to the visiting teams at the end of the meet.
Bait Shop
- Assists Coordinator during the meet. Mans concession stand, sells food items, prepares some food items, collects money, etc.
Swim Shop
- Assists coordinator in sales of heat sheets, swim suits, goggles, flippers, and other assorted swim gear. Assists customers, collects money, and helps prevent pilferage of items.
Clerk of Course Assts
- Assists the Clerk of Course as necessary. Helps record additions, deletions and lines up swimmers for deck seeding. Two people in addition to the Clerk of Course required.
Runner
- Takes deck cards from timers to statisticians and awards work station. Runs additional errands as necessary.
Timers
- Reports to the Head Timer for pre-meet meeting/training. During the meet, ensures that swimmers are in the correct lane and heat as listed on the deck card. Operates stop watch and records times on deck cards. Three timers per lane are required, normally 2 shifts are set up (requiring at least 36 people per meet).
Marshalling Assts
- Assists Marshal as necessary. Ensures that swimmers are lined up per deck cards/heat sheets (changes resolved with clerk of course, head official, and starter). Posts events/heats to report to Clerk of Course.
Set Up/Clean Up
- Assists Meet Director as needed.
Coach's Asst
- Assists the coach in taking split times during the meet and recording times in coaches log. Only required when coach’s staff is short-handed. (Ask the coach if he needs help).
- Relay coordinator – well in advance of the relays, ensure that the swimmers assigned to relay teams are aware of 1) the fact that they are on a relay, 2) which relay they have been assigned to (A/B/C), 3) which leg of the relay they are swimming and 4) who their fellow relay members are (if they don’t know their fellow swimmers, make sure that they meet them and know who they will be swimming with). This may mean taking smaller and/or new swimmers by the hand (especially early in the season) and making sure that they stay together prior to the event and report to the Clerk of Course desk when the event is posted. Also – ensure that the Clerk of Course is made aware of any/all changes to relay teams.
